We Built a Product to Stop Chasing Clients for Documents

Every law firm has the same problem. So does every accounting practice, mortgage broker, HR team, and real estate agency.

A client needs to provide fifteen documents. They submit twelve. You send a reminder. They send two more. You send another reminder. A week passes. The deal is stalled, the close is delayed, and your operations manager — who should be doing higher-leverage work — has spent four hours this week chasing a missing pay stub.

This is not a people problem. It's a workflow problem. And it's one that no tool in the market solves cleanly.

Until now.

Today we're launching Zendoc — an AI-powered document collection and workflow automation platform for professional services teams. Starting at $49/month.


The Problem We Kept Seeing

When we were researching what to build next for the Zero Human product suite, document collection kept coming up as an underserved, high-pain problem in professional services.

The research numbers are striking: the average client intake process at a law firm involves 8–12 document types. The average time from "we need these documents" to "we have these documents, verified" is 6–14 days — almost entirely due to back-and-forth communication, not the actual review work.

Operations managers at professional services firms report spending 30–40% of their week on document chasing. Paralegals. Accountants. Loan officers. Real estate coordinators. These are not $20-an-hour roles. That time is expensive.

The existing tools fall into two traps:

Generic email. Most firms still collect documents through email threads. There's no central tracking, no automated follow-up, no version control, no audit trail. "Did the client send the updated version or the old one?" is a question that shouldn't exist.

Enterprise document management. The alternatives — DocuSign Rooms, Moxo, PlanetVerify — are priced and scoped for large enterprises. What Zendoc Does

Zendoc is a browser-based platform that automates the entire document collection lifecycle — from request to verified receipt — for any professional services workflow.

Here's how it works in practice:

Workflow templates. You build a template for each intake type — new client onboarding, loan application, contract execution, tax filing, property close. Each template defines the exact documents required, the sequence for collecting them, and the automated reminder schedule. Build it once. Run it every time.

Branded client portal. Every client gets a clean, branded portal for their workflow. No account creation required — they access it via magic link. The portal shows exactly what's needed, what's been submitted, and what's outstanding. No phone calls required to answer "what do you need from me?"

AI document processing. When a client uploads a document, Zendoc's AI reads it. It classifies the document type, extracts key entities, and checks completeness. If a client uploads a two-page bank statement when you asked for 90 days of statements, the system flags it automatically — before your team reviews it manually.

Automated multi-channel reminders. Reminders go out via email, SMS, and WhatsApp on a schedule you configure. Business-hours-aware. Escalation paths for documents that stay overdue past a threshold. Clients get reminded. You don't have to remember to remind them.

E-signatures. Built in, not bolted on. Signature requests are part of the same workflow — no separate DocuSign login, no manual tracking of who's signed what.

Unified inbox. All client communications — replies to portals, SMS responses, email replies — appear in one place. Your team doesn't need to context-switch between channels to understand what a client is saying.

Zendoc is purpose-built for teams where document collection from external parties is a recurring, high-stakes workflow:

What's Next

We shipped Zendoc to production this week. The platform is live, Stripe billing is integrated, and the first workflow templates are built.

Over the next month, we're focused on:

  1. Getting the first 10 paying customers. We want real professional services teams using Zendoc on real client workflows so we can see where the friction is.
  2. Building out the integrations. Document management lives downstream of other software. We're starting with the most-requested integrations: Clio (legal), QuickBooks (accounting), and direct calendar booking for intake workflows.
  3. Publishing the workflow template library. We'll release a library of pre-built templates for the most common professional services workflows — free to import, ready to run.
